The February–March 2026 changes extend how UCare handles a person’s memberships and responsibilities when their profile is archived.
Review the consequences first
Archiving removes UCare account access where an account exists. It also removes active process participation and group/search leadership assignments rather than handing those responsibilities to someone else. Reassign work before archiving.
For organizations using membership-based archiving, UCare removes public-group memberships and memberships of private or protected groups with recent or upcoming meetings. That group rule does not require the person to have attended the meeting.
Organizations using Status-group archiving follow a different membership rule: the person leaves other Status groups and joins Inactive. Process and ownership cleanup still applies.
These actions are recorded in history. Archiving does not delete the person’s profile, and it is not a one-click pause that automatically restores memberships or access later.
Before you archive someone
- Review their account access, groups, process participation, and leadership.
- Reassign responsibilities that someone else needs to continue.
- Ask an administrator to confirm the applicable archiving rule and that the profile is eligible.
- Open the person’s action menu and select Archive only after reviewing the consequences. The current profile action submits directly; do not expect an extra confirmation dialog.
- Check History and verify that the intended changes occurred.
If the person returns
Ask an administrator to review the person’s existing profile before creating another one. Check which group memberships, Process participation, leadership, and UCare access they now need, then add or grant only those that are appropriate.
Do not assume that changing a profile’s status restores its previous memberships or permissions. Use History to review what changed, and contact UCare support if your organization’s correct reactivation path is unclear.
