Forms are the recommended way to collect information before someone registers for an event. A Form can reuse questions across events, prefill supported details, and trigger supported automatic actions.
Use Forms for new event registration questions, and plan the move from existing ticket Fields before changing an event that is already taking bookings.
Move an event to a Form
- Review every ticket type and record the Fields currently used for registration.
- Create a Form with equivalent questions. Check required/optional settings, choices, visibility rules, and any prefilled details.
- Test the Form independently with fictional information.
- Open the Event, go to the Forms tab, and add the Form.
- Set Collect for to Required, Optional, or No for the booking and each relevant ticket type.
- Complete a test registration for every materially different ticket type.
- Confirm the response is attached to the expected person and booking, and that notifications or automatic actions work as intended.
- After checking the registration and historical answers, stop collecting duplicate information through the old Fields. Remove old configuration only after your administrator has confirmed it is safe.
Before changing a live event
- Keep existing registration answers available while you check your reporting and retention needs. Ask an administrator to confirm where historical answers can be viewed or exported before removing old configuration.
- Check events that are copied or repeated from an older event; their setup may still include old Fields.
- Do not bulk-delete dates or details from people’s profiles as part of this move. Review any profile cleanup separately.
- Avoid changing registration questions while people are actively booking unless the effect on in-progress bookings has been tested.
